TORs Admin Assistant
At Al Marji’ Publications (staff/full time)





The admin assistant is to work under the direct supervision of the HR/Accountant and Publisher. She is the point of direct contact between the company and clients. She is also the monitoring agent in the office ensuring that different teams adhere to deadlines and checklists.


This job requires somebody who is loyal, who can work according to set systems, checklists, has social media skills, is diplomatic and has very good interpersonal skills.



HR/Accountant Assistance
• Printing out contracts
• Monitoring contracts through and electornic log. This entails supervising the office driver and following up with clients
• Sending out bids and tabulating bid results
• Working closely with printing houses
• Following up on subscriptions and generating a weekly report about the status of subscriptions. This entails contacting clients and putting a daily schedule for the driver who works on renewing subscriptions
• Monitoring the replenishment of our products at points of sale by monitoring the drivers daily replenishment schedule
• Monitoring the number of stands we have
• Updating our service contracts database
• Updating our inventory
• Ensure that all files are updated and orderly
• Working according to a set checklist
• Ensuring that all staff are following their checklists according to set deliverables and deadlin


Administrative Tasks

• Dealing with client requests in a timely manner (within 12hours)
• Preparing material for the publisher’s meetings at least a day before
• Online profiling of clients the publisher is meeting with and suggesting points of engagement based on research results
• Typing letters in both Arabic and English
• Replying to on-line queries within a max of 12 hours
• Setting and following up with the publisher’s meetings-meetings should not take more than 3 days to secure
• Providing social media support and engaging in the company’s social media arms according to a set schedule
• Assisting the Publisher in tracking errors in Nakahat ‘Ailiyeh and Family
Flavours by cross checking documents
• Preparing presentations for board meetings
• Monitoring staff performance as per daily schedule sent by publisher
• Updating the media monitoring table
• Analysis based on media monitoring
• Updating the marketing database
• Updating the English articles database
• Updating the publishers’ contact database with new contacts regularly
• Monitoring and updating the photos database
• Updating the fashion database of clients used each month
• Media monitoring
• Preparing gift bags for the persons we work with (adult and child models, VIPs, etc..)
