CEO Executive assistant
الوصف الوظيفي
ROLE PURPOSE:
Executive personal assistants help executives run an organization smoothly. She/he will perform mostly administrative duties and clerical duties, attend meetings with CEO, document memos and followup on outcomes, compose correspondence, review memos and reports, conduct research, create presentations and prepare statistical reports. She /he might have more general office duties as well, such as organizing and maintaining files, answering phones, purchasing supplies and operating office equipment.
KEY AREAS OF ACCOUNTABILITY:
Devising and maintaining office systems, including data management and filing.

Occasionally, travelling with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.

Ensure that a risk assessment exercise is conducted upon needs and all actions are put in place.

Support continuous improvement of operational standards, drafting objectives, policies and procedures.

Revised measures or targets in coordination and agreement with the CEO and the SLT/GMT.

Capacity building of SC Jordan staff on topics of quality operating standards, accountability, Performance Management, working ethics and anti-corruption in cooperation with the HR.

screening phone calls, enquiries and requests, and handling them when appropriate.

Meeting and greeting visitors at all levels of seniority.

Organising and maintaining diaries and making appointments.

Dealing with incoming email, faxes and post, often corresponding on behalf of the CEO.

Carrying out background research and presenting findings.

Producing documents, briefing papers, reports and presentations.

Organising and attending meetings and ensuring the CEO is well prepared for meetings documenting memos and managing outcomes.

Maintaining privacy and Confidentiality in all Related work issues.

Undertaking other duties as designated by the CEO.

The duties and responsibilities as set out above are not exhaustive and the role holder may be required to carry out additional duties within reasonableness of their level of skills and experience.

QUALIFICATIONS:
BA degree in Business Administration or related field.

2-5 year programs in office administration.

The ability to be proactive and take the initiative

Ability to plan and organize and work in a systematic and organized manner.

Detail oriented and meticulous.

Ability to prioritize competing demands.

Strong team player with high team spirit and positive attitude.

Flexibility under pressure and in response to changing needs.

Productive and responsive to instructions and project policies and regulations.

Initiative, stress tolerance and reliable.

Computer knowledge especially MS office, spreadsheet, PowerPoint, outlook and lotus notes, word processing, database, desktop publishing, spreadsheet and presentation software.

Excellent planning, coordination, and reporting skills, with the ability to organise a substantial workload comprised of complex, diverse tasks and responsibilities;

Ability to build relationships quickly with a wide variety of people, both internally and externally.

Excellent communication in English (written and spoken).
